Agree on payment details early
Before starting an international project, agree on the invoice currency, payment schedule and accepted payment methods. A short written agreement can prevent confusion when the work is complete.
Clarify who pays transaction charges and whether the agreed amount is before or after those charges. If currency conversion is involved, discuss how the amount will be calculated rather than leaving it to assumption.
Make the invoice easy to act on
Include your business details, your client’s details, a unique invoice number, the issue date and the payment due date. Describe the work clearly and show the currency beside every total. Add applicable tax information based on your circumstances.
Provide a concise payment reference and accurate payment instructions. If you use a payment link, verify that it opens correctly before sharing it. Do not include sensitive account credentials or private keys in an invoice.
Follow up and reconcile
Keep a copy of the invoice and any agreement about payment. Follow up politely when a due date approaches, and acknowledge payment once it is confirmed. Reconcile the amount received against the invoice, including any fees or conversion differences.
